Senior Coordinator, Logistics and Administration, ESA Education
Redu Space Services (RSS) has a vacancy for a member of the Education Team at the European Space Agency Security and Education Centre (ESEC), in Transinne (GALAXIA), in the Ardennes region of Belgium.
RSS provides to ESA Education Office a broad range of services at the ESA Education Training Centre in ESEC-Galaxia ,such as:
- Support to the ESA Academy, a programme with the objective of complementing the portfolio of knowledge of university students to better prepare them for a space-related career
- Instructional design and coordination support for the Training & Learning Programme, which delivers a portfolio of training courses, in all areas of ESA’s expertise, from space law and entrepreneurship to spacecraft engineering and human space physiology.
- Engineering support to hands-on space-related projects, in particular CubeSat mission design, satellite assembly and test campaigns in the frame of the Fly Your Satellite! programme.
In this position you will:
- Provide logistics and administrative support to the ESA Education Office at ESEC, for the organisation of training courses, workshops, test campaigns and ad-hoc programmatic events.
- Manage the service work package (WP) activities towards the customer (ESA)’s technical representatives and coordinate the task allocation and planning of the day-to-day activities of the administrative and logistics assistants.
- Support RSS service manager in the management of the SLA and KPI/ metrics achievements for the WP on logistics and Administration
- Act as the primary point of contact with the ESA technical representative for the technical delivery of the tasks within the administration and logistics work package.
PRIMARY RESPONSIBILITIES
The main activities of the Logistics and Administration Coordinator include:
- Provide administrative support
- Validate and pre-screen student applications
- Act as the point of contact for student applicants
- Liaise with event participants
- Interact with external providers and suppliers for the organisation of accommodation, transport, catering and social events
- Prepare training rooms and related logistics material (e.g. booklets, goodie bags)
- Carry out various logistics tasks before, during and after events
- Maintain statistics databases and other types of databases (training material archives, shared folders, …)
- Update websites, feedback questionnaires and application forms
- Report on WP activities (achievements, plans, issues, metrics/ KPIs, service reports)
COMPETENCIES
- Be a national of a Member State of the European Union European Space Agency, or Canada
- Fluent in spoken and written English; Knowledge of French is an asset.
- Effective communication and persuasion skills, both verbal and written with different functional teams (technical, commercial, administrative)
- Ability to plan and prioritise own workload, to cope with the pressure of an operational environment and to meet deadlines;
- Customer oriented attitude;
- Problem solving attitude;
- Ability to work in an international team environment;
- Ability to compile minutes of meetings and reports;
- Good knowledge of Microsoft Office and aptitude to learn new software tools as required;
- Have strong interpersonal and communication skills;
QUALIFICATIONS & EXPERIENCE
- Have a Bachelor degree, or equivalent, in Business Administration, Operations Management or other relevant degrees
- At least 5 years of experience in event management or organisation
- At least 1 year of experience in a day-to-day team coordination role
