ROLE DESCRIPTION SUMMARY
The Facilities Operations Specialist serves as the primary local point of contact for Facilities Operations activities at the Kockelscheuer office. Working in close collaboration with the central Facilities Operations team in Betzdorf, the role supports the day-to-day management of workplace services, vendor coordination, office operations, employee experience initiatives, meeting room technology and site-related activities.
The position acts as a liaison between the Kockelscheuer office and the Facilities Operations team, ensuring operational issues, employee requests and service requirements are appropriately coordinated, communicated and escalated when required.
The role contributes to maintaining a safe, efficient and well-functioning workplace while supporting the delivery of Facilities Operations on-site services are executed to high quality standards and remain fully compliant with SES requirements.
PRIMARY RESPONSIBILITIES / KEY RESULT AREAS
General Facility Management
- Act as the primary local contact for Facilities Operations matters at the Kockelscheuer site.
- Coordinate day-to-day workplace services and facility-related activities.
- Monitor site conditions and report operational issues, maintenance needs and service concerns.
- Coordinate local vendor activities and service interventions in collaboration with the Facilities Operations team in Betzdorf.
- Support office moves, workplace changes and space utilization activities.
- Facilitate communication between employees, service providers and the Betzdorf Facilities Operations team.
- Maintain visibility of local operational requirements and provide regular status updates.
- Support budget tracking and invoice verification activities in accordance with established procedures.
- Assist with the implementation of Facilities Operations initiatives, standards and processes.
Workplace Technology Support
- Act as the primary local point of contact for conference room technology and audio-visual systems at the Kockelscheuer office.
- Install, maintain, operate and troubleshoot audio-visual equipment, including display devices, camera systems, video conferencing systems, microphones and speakers.
- Support the setup, configuration and operation of Microsoft Teams Room (MTR) systems and collaboration technologies.
- Provide first and second-level support for meeting room technologies and coordinate escalation to internal teams or external providers when required.
- Support the preparation and execution of internal meetings, management visits and special events requiring audio-visual services.
- Provide backup and operational support for meeting room technology and AV systems across EMEA sites when required.
Physical Security
- Act as the local point of contact for day-to-day security-related matters and coordinate with security providers and internal stakeholders.
- Receive and review security incident reports, patrol reports and operational alerts from security providers, ensuring appropriate follow-up and escalation when required.
- Support access control infrastructure planning for EMEA sites.
Food Services Management
- Oversee the operations of the canteen, industrial kitchens, and catering services, ensuring meal quality, compliance with food safety standards, and resource optimization.
- Manage and maintain vending machines, coffee machines, and water dispensers, ensuring their proper functioning and smooth payment system operations.
- Review and validate orders and invoices, ensuring compliance with company standards and effective budget management.
- Manage allocated budgets, focusing on cost optimization and service quality.
Special Events & SLT Liaison:
- Serve as the primary point of contact for Senior Leadership Team (SLT) to coordinate and fulfill their specific requirements for special events and catering needs in Kockelscheuer.
- Collaborate closely with SLT to ensure their needs are met with precision and excellence during high-profile company events.
COMPETENCIES

- Ability to coordinate workplace services, vendor activities and operational requirements in a dynamic environment. Strong knowledge of computers, presentation software and AV equipment.
- Efficient communication and interpersonal skills (written and verbal) with both customers and colleagues, developing positive and productive working relationships with other employees and departments and acting as a real team player.
- Ability to work in autonomy, identifying resources and making independent decisions.
- Ability to manage food services and vending operations, ensuring efficiency and compliance.
- Strong budget management and cost optimization skills to maintain service quality.
- Ability and interest in learning technology related skill.
- Creative and used to thinking outside the box.
QUALIFICATIONS & EXPERIENCE
- Bachelor’s degree in a relevant field or equivalent professional/technical qualification, combined with a minimum of 5 years of relevant Facilities Management experience. IFMA, or equivalent FM/H&S certifications as an advantage.
- Experience in project coordination in a large-scale, international context.
- Fluency in English, German and/or French. Other languages are considered as an asset.
- Confident with all Microsoft Office package.
- Proven experience in managing food services, catering and facility management.

- Interfacing with all departments at all levels.
