ROLE DESCRIPTION SUMMARY
As a Procurement Specialist you will be hired for a period of 11 months to cover the maternity and parental leave of a member of the Vendor Management & Procurement team. You will support the overall procurement of External Workforce on behalf of VMP with a strong focus on cost negotiation and savings. You will also be expected to conduct tendering processes and to be an SAP expert on the Procure-to-Pay process, providing support & training and resolving issues. You will process and produce contracts for External Workforce (task assignment sheets).
You will be responsible for (this is not an exhaustive list):
- External Workforce related responsibilities
- Owner of the External Workforce process for all VMP touchpoints
- Develop and maintain a full understanding of the External Workforce process and provide support and training as needed to internal stakeholders
- Work closely with SES teams to ensure compliance and cost efficiencies
- Provide cost visibility at department level
- Act as the primary handler of all tasks linked to the sourcing and procurement of External workforce in Service Portal which includes reviewing intake forms, defining commercial terms and ensuring internal coordination. This includes the creation of contractual documents, with training and support from Legal
- Procurement responsibilities
- Conduct sourcing events, tendering and negotiation tactics and contract implementations for other professional services, as required from time to time
- Conduct specification reviews and cost analysis for spend optimisation
- Facilitate bidding and negotiation processes: support execution of all work related to bid process, including but not limited to preparation of list of suppliers, RFI deployment, RFP coordination, bid scheduling, bid validation, and supplier interaction during all process
- Facilitate negotiations by providing all required information, specifically cost saving assessments
- Facilitate contract implementation
- Contribute to the Company EBIT, Working Capital and Cash Flow objectives through negotiations and effective use of global leverage to reduce services costs
- Monitor the current and potential vendor’s health status, including Financial, Legal, capacity and capability aspects as needed
- Support SES projects in a timely manner when required, corroborated and prioritised with other strategic or operational activities, as needed
- Operational procurement responsibilities
- Support operational procurement activities in compliance with SES Procurement policy
- Validate Purchase Requisitions in line with SES Policies and procedures and according to SES’s KPIs (autonomously for purchases <50KEUR/USD and in coordination with Category Manager for purchases > 50KEUR/USD)
YOUR PROFILE
Must Have
- BSc (or equivalent) in Business Administration, Finance, Purchasing or Supply Chain Management
- A minimum of 5 years of general professional experience, including work experience in an international and multicultural environment
- Good working knowledge of SAP procurement to pay processes
- High proficiency in Microsoft Excel required
- Expertise in procurement processes
- Understanding of procurement of External Workforce
- Understanding of category management
- Financial analysis skills
- Ability to develop business knowledge in various procurement categories
- Influencing and negotiation skills
- High level of customer service skills
Nice to have
- Preferably 3 years in operational procurement: vendor management, procurement and/or supply chain/planning in a corporate environment
- Experience of contract management is an asset
