Primary Responsibilities/Key Result Areas:


 Coordinate and schedule the global training delivery

  •  Plan and schedule courses based on training needs and annual planning
  •  Arrange and monitor catering for on-site training events
  •  Instruct and monitor logisitcs staff regarding room set up and technical support
  •  Find and manage off-site venues (including price negotiation for external venues) and handle all related communication and administration (including course material production and distribution)


 Coordinate and schedule the global training delivery

  • Manage and update the content of the L&D Intranet Homepage / the LMS catalogue on a regular basis
  •  Update and align all course descriptions
  •  Support the design of new training courses for the Global Training Catalogue


 Proactively market training courses to employees

  •  Answer any employee question with regard to training sessions, catalogue, calendar, or process
  •  Proactively market all training courses to employees via email, intranet and additional marketing when required
  •  Track enrollment, send course reminders and materials to employees
  •  Work with HC Management and people managers to match employees with relevant courses
  •  Ensure full sessions with back-up candidates waitlisted


Support and guide internal and external trainers on a day-to-day basis

  • Act as the main point of contact for all internal and external training providers
  • Manage regular communication with trainers before and after the course date
  • Execute the compliance training plan in close cooperation with the legal department
  • Accompany and support external trainers while on-site


Manage the SES Learning Management System

  • Maintain the system and detect bugs or features that need improvement
  • Verify data in the system and obtain missing data
  • Suggest improvements to the LMS and to the processes
  •  Initiate regular modifications and tailoring


Monitor and control all training related invoicing

  •  Handle and check all training related invoices
  •  Clarify all questions and issues regarding invoices for payment for course vendors, materials and de-partment operations with Finance department as required
  • Monitor the L&D budget including running budget reports​​​​​​​
  •  Support and advise on the annual budgeting process for learning and development activities


Gather and record all learning related data and generate reports

  • Gather participants lists and other documentation
  • Prepare periodic enrollment reports
  • Compile and track statistics on delivery and relevant KPIs
  • Design and generate meaningful reports on L&D activities


​​​​​​​ Manage the annual training subsidies process with the Luxembourg government

  •  Manage the subsidies project autonomously on an annual basis
  • Review all data and documents for training activities involving Luxembourg employees
  • Obtain all relevant documentation and input from internal sources
  • Work with the external auditor to ensure compliance and accuracy of figures
  • Submit full report in May each year for the previous year
  •  Monitor payout of yearly subsidies of between 200,000 and 400,000 EUR for L&D activities


 Provide administrative support to the Vice President L&D and for L&D activities

•            Support to the Vice President L&D in preparation of presentations, travel and meeting coordination, as well as communication

•            Provide administrative support for all projects within the area of Learning and  Development

•            Contribute in particular to the Leadership Development Programme, business priority projects MOOC / blended learning development


Who We Are Looking For (More About You):

In order to achieve the outcomes described above, we believe you will be able to demonstrate some or all of the following:


Preferred Education & Experience (a combination of education and experience will be considered):


  • Relevant experience in a similar function and environment
  • Strong background in Learning & Development, good understanding of HC principles
  • Advanced skills in MS Office Suite (Word, Excel, Powerpoint)
  • Experience in running complex reports, including pivot table and graphs
  • Demonstrated experience in dealing with external suppliers and executives
  • Mother tongue level in spoken and written English, other languages a plus
