Under the supervision of the Senior Manager, Programme Management, you will be responsible for providing general project support.

You will support SES Techcom projects by providing administrative assistance and support to Engineers and Project Managers during the set-up, realization, and closure phases of projects.

Primary Responsibilities/Key Result Areas:

  • Cooperate with Project Managers and project teams by taking over specific tasks related to administration, documentation, organization, and control of the projects. These tasks include the preparation and follow-up on purchase requests (PR) and purchase orders (PO), on agreements with suppliers and contractors as well as Non-Disclosure Agreements (NDAs) and intercompany agreements (WOF) set-up.
  • Coordinate with the Finance team and Project Managers for the billing and invoices triggering whenever a milestone is met, prepare PMACs (Project Milestone Achievement Certificate) to be signed by Techcom and the customers, and follow-up accordingly with Finance team on the payment of the invoice.
  • Support the Project Managers in the documentation fulfillment (preparing data packages) for projects.
  • Collaborate with the Project Managers and the Project Control team for all budget-related matters.
  • Maintain close collaboration with the Legal and Vendor management teams to perform the above-mentioned tasks.
  • Connect with the Delivery Point team (CDP) and address all shipment-related topics.
  • Support the Quality Assurance team for the set-up and administration of the documentation management/numbering and archiving systems or while preparing the newcomers' information training sessions and the health & safety training sessions for Techcom staff.
  • Prepare or provide support to the OPEX / CAPEX budgets requests.
  • Share specific administrative tasks with Techcom Office Manager and Administrative Support (i.e. distribution of internal and external mail)

Preferred Education & Experience (a combination of education and experience will be considered):

  • Bachelor’s degree or Secretary or Management Assistance or Foreign Languages Degree
  • Minimum 5 years of experience in administrative functions
  • Familiarity with the daily usage of office software (MS Outlook, MS Word, MS Excel, MS PowerPoint …)
  • Experienced in the daily usage of an ERP (e.g. SAP)
  • Fluency in English, any other language will be considered as an asset
