Junior Specialist, Facilities Operations
ROLE DESCRIPTION SUMMARY
The Technician Facility Management Services (FMS)’ daily responsibilities encompass setting-up meeting rooms and adjusting audio-visual equipment, performing routine maintenance, and assisting in major events.
S/he is required to provide excellent customer service, while performing equipment and software maintenance, providing 2nd level support on conference room equipment, room reservation system and MS teams features. S/he also provides adequate self-explaining conference room documentation or “How to” guides and organize and hold standard user trainings.This position is a fixed-term 9 month contract.
PRIMARY RESPONSIBILITIES / KEY RESULT AREAS
General Facility Management
- Identify and resolve AV (Audio/Video) equipment malfunctions, isolate problems, and make equipment substitutions. Perform updates, removals, simple repairs and replacements.
- Prioritize, maintain and complete incident reports accurately and timely (in Service-Now).
- Support for maintaining all local FMS storeroom clean, safe and organized.
- Support for the FMS Sharepoint knowledge platform.
- Assist in technical handling of large-scale events in Betzdorf’s “Multi-Purpose Center” (MPC).
- Support for AV material for off-site conference meetings for SES Boards.
- Cover to develop for global company use, user manuals, workbooks, ‘How to’ guides, quick guides, checklists, short videos or other related materials regarding conference room equipment, AV systems and room reservation systems.
- Organize and conduct worldwide online training sessions for meeting room technology and room reservation system.
Conference room technology related
- Install, maintain, operate, and troubleshoot EMEA AV equipment, including display devices, projectors, televisions, camera systems, video teleconferencing systems, microphones and speakers.
- Assembly and disassembly of conference setups and change room arrangements, including tables, chairs and stages in accordance with the schedule of events.
- Support in setup and configuration of MTR (Microsoft Team Room) endpoints.
- Assist in MS Teams Live events. Act as a mentor for other organizers and give adequate insights to presenters.
Conference room reservation system
- Provide support on worldwide operation and operative configuration of the SES Meeting room reservation system, including catering management and visitor management.
- Troubleshoot problems on platform (level 2) and escalate issues to respective teams (IT service or the provider)
- First level support for room reservation screens.
Special Events & SLT Liaison:
- Serve as the back up point of contact for Senior Leadership Team (SLT) to coordinate and fulfill their specific requirements for special events and catering needs.
- Collaborate closely with SLT to ensure their needs are met with precision and excellence during high-profile company events.
COMPETENCIES and QUALIFICATIONS & EXPERIENCE
- knowledge of computers, presentation software and AV equipment.
- Efficient communication and interpersonal skills (written and verbal) with both customers and colleagues, developing positive and productive working relationships with other employees and departments and acting as a real team player.
- Ability to work in autonomy, identifying resources and supporting.
- Ability and interest in learning technology related skill.
- Creative and used to thinking outside the box
- Degree as Technician or equivalent (bachelor preferred); experience in the Audio/Video field would be appreciated
- Experience in project coordination ( in a large-scale, international context would be appreciated).
- Fluency in English, German and/or French. Other languages are considered as an asset.
- Confident with all Microsoft Office package.
