(Senior) Project Coordinator
ROLE DESCRIPTION SUMMARY
Under the supervision of the Senior Manager, Programme Management, the incumbent is responsible for providing general project support. More specifically, the position is supporting SES Techcom projects by providing administrative assistance and support to Engineers and Project Managers during the set-up, realisation and closure phases of projects. When the project is contracted, the (Senior) Project Coordinator will work in close collaboration with the Project Manager who is responsible during project lifetime for programmatic aspects, budget, contractual obligations, management of the various internal/external resources and suppliers in an integrated ap-proach towards the Customer(s) and along the scope defined.
You will be responsible for (this is not an exhaustive list):
- Cooperate with Project Managers and project teams by taking over specific tasks related to admin-istration, documentation, organization and control of the projects. These tasks include the prepara-tion and follow up on purchase orders (PO), on agreements with suppliers and contractors as well as Non-Disclosure Agreements (NDAs) and intercompany agreements (WOF) set-up.
- Coordinate with the Finance team and Project Managers for the billing and invoices triggering whenever a milestone is met, prepare PMACs (Project Milestone Achievement Certificate) to be signed by Techcom and the customers and follow-up accordingly with Finance team on the invoic-es payment.
- Support the Project Managers in the documentation fulfilment (preparing data packages) for pro-jects.
- Maintain close collaboration with the Legal and Vendor management teams to perform the above-mentioned tasks.
- Connect with the Delivery Point team (CDP) and address all shipment related topics.
- Prepare or provide support to the OPEX / CAPEX budgets requests.
- Support the successful delivery of projects in the domains of current and planned Techcom tech-nology and service developments, such as Quantum communication infrastructure.
- Support and sometimes lead some parts of the projects which includes:
- Help maintaining project schedule and risk register
- Coordination of internal and external resources
- Preparation of Milestones review
- Actions tracking and chasing
- Administrative support to the project team and along the requirements (Engineering, QA/PA, CADM, Legal…)
- Build up relationships with customers along contractual requirements through the various project realization phases
- Report to Line Management and coordinate with other functions (Engineering, Project Control, Commercial, Legal, Finance) for the transparent and effective realization of assigned projects
- Enforce within the team the usage of professional project management tools as appropriated to plan, report and document project progress and budget evolution
- Assess and suggest improvement of processes and tools used for the project/program manage-ment.
YOUR PROFILE
Must have
- Have a University degree (Bachelor’s or Master’s degree) in the field of Economy, Communica-tion, Management Assistance or Foreign Languages
- Minimum 4 years of experience in administrative functions (including support to Project Manag-ers and Engineers)
- Understanding of project management processes, including the financial side
- Proficiency with Microsoft office tools (Excel, Word, PowerPoint), Outlook
- Experienced in the daily usage of an ERP (preferably SAP)
- Fluency in English, any other language will be considered as an asset
- Eligibility for ESA/EU SECRET personnel security clearances is essential. Candidates must be prepared to undergo a security clearance procedure, as this position may require holding such clearance
Nice to have
- Willingness to travel across Europe (as required for project realization purposes)
- Experience in interacting with Institutional bodies
- Expertise in the following fields is considered a strong asset:
- Knowledge of ECSS standards and ESA project lifecycle
- Experience with EU/ESA “protected” and “classified” projects
- Expertise in the following fields is considered an asset:
- Quantum and/or Governmental Satellite Communications
